Speed to lead
Speed to lead, measured in seconds.
Speed to lead is the time between a prospect filling in your form and someone calling them back. In an audit of 2,241 US companies published in Harvard Business Review, the average response time was 42 hours, and 23% never responded at all.
An AI voice agent closes that gap. It calls each new lead within seconds of the form arriving, at any hour, asks your qualifying questions and books the appointment on a rep’s calendar. Your team starts the day with meetings, not a callback list.

New lead · Riverside Roofing quote form · roof leak · call placed
- AI agent00:07
Hi, is this James? This is the AI assistant at Riverside Roofing. You just asked for a quote on our website. Is now a good time?
- Caller00:13
Yes. That was quick. We have a leak over the back bedroom.
- AI agent00:17
Sorry to hear that. Is water coming in now, or only in heavy rain?
- Caller00:22
Only in heavy rain. I want someone to look at it before winter.

How fast companies actually answer a web lead.

Why speed to lead matters: the first hour.
A second study by the same team followed 1.25 million sales leads at 29 B2C and 13 B2B US companies. Qualifying a lead meant a meaningful conversation with a key decision maker.
- Likelier to qualify, contacted within the hour
- 7×
Nearly seven times as likely as firms that tried to make contact even an hour later.
- Likelier than waiting a day
- 60×
More than 60 times as likely as firms that waited 24 hours or longer.
- Average response time
- 42 h
Among the audited companies that responded within 30 days.

From form to booked appointment, without a queue.
The researchers blamed slow replies partly on leads being pulled from the CRM once a day instead of continuously. Here the lead itself starts the call.
- 01Lead arrivesWeb form or CRM record, sent by webhook
- 02Agent callsWithin seconds, at any hour, in the lead’s language
- 03QualifiesYour questions: need, timeline, location, budget
- 04Books or transfersCalendar slot, or a warm transfer to a free rep
- 05Writes backOutcome, answers and transcript in your CRM
- Triggered, not batched
- A webhook starts the call when the lead is created. Nothing waits for someone to check the CRM.
- Every lead, not the top of the pile
- The 9 p.m. Sunday lead gets the same call as the 10 a.m. Tuesday one.
- Real slots only
- The agent offers open times from the rep’s Google, Outlook or Calendly calendar and books one on the call.
- Hot leads reach a person
- If a rep is free and the lead is ready, the agent warm-transfers the call with the answers already captured.
Three ways to answer a new lead.
| Email autoresponder | Rep callback queue | AI voice agent | |
|---|---|---|---|
| First contact | Instant, but it is an email | When a rep gets to it | A call, within seconds of the form |
| Nights and weekends | Sent; nobody follows up | Waits for the next shift | Called, at any hour |
| Qualifies the lead | No | Yes, when the rep has time | Yes, the same questions on every call |
| Books the appointment | Sends a booking link | Yes | Yes, into the rep’s calendar during the call |
| Languages | Whatever the template is in | Whoever is on shift | 20+ languages |
| CRM record | Email sent | Notes typed later | Answers and transcript written back as the call ends |

- 01
Connect your lead sources
Send new leads by webhook, or have the agent pick them up from Salesforce, HubSpot, Zoho or LeadSquared as they are created.
- 02
Write the qualifying call
The opening line, the questions that decide fit, and what the agent may and may not answer. Anything else becomes a callback for a rep.
- 03
Connect calendars
Google Calendar, Microsoft 365, CalDAV or Calendly, per rep or per team, so the agent offers only real open slots.
- 04
Test with your own form
Submit a lead, take the call, try the awkward answers. Switch it on for every new lead when it sounds right.
